Sales LedgerThe Sales ledger module provides full feature software with foreign currency support and comprehensive customer information. Customers are allocated an account number of up to 6 alphanumeric characters. Customer information can be searched for either by account number, nickname, and postcode or telephone number. Invoices or credit notes raised by the source modules are updated in real time to the Sales Ledger. Manual invoices may still be entered directly onto the Sales Ledger and analysed to the Nominal Ledger. This module also handles posting of cash receipts and inter-ledger journals. Customer statements can be printed in various formats and 4 levels of transaction ageing are maintained automatically. Statistical information is maintained for each customer, providing an analysis of business volume and payment habits. The module has an integrated debtors management and debt letter system; contact with customers, to chase payment, is tracked on every account to provide visibility of account payment status to all authorised users. This links to the debt letter system which has recently been enhanced. Credit limits can be set against individual customers, each time a transaction is created the system performs a credit status check. The system maintains a work in progress value for each customer and includes this value when performing credit checks. There are three levels of account credit status; normal, warning and stop. The warning level will give a pop up message on the screen when a transaction is raised, but the operator has the ability to continue; if they continue a record is made (operator, date and time) to confirm that they ignored the warning. Once an account is on stop the only way of continuing with a transaction is by entering a password. Wholegood and Vehicle sales invoices, which are often financed, can be excluded from credit checks if required. The Sales Account enquiry program pulls all relevant information into one area to see an overview of a customer. The tabbed format of the enquiry helps make it easy to navigate; the data includes all transactions, debt chasing tracking, sales and margin summary statistics for 2 years by department and payment pattern statistics. On each sales transaction you can drill down to view/print the invoice and see the nominal transactions generated. The aged debt analysis is always visible in this screen split over 4 periods.
