Forms PrintingThe Forms Printing module covers the ability of the system to create a .PDF file of outgoing documents, merge this with a .PDF of the company stationery and then deliver the resulting .PDF file to a printer, fax or email. The base module creates the document for printing only; the bolt-on options are to deliver by fax and/or email. Either or both of the bolt-on options can be installed. The background company stationery can be individual based on depot and transaction type. For example you can change the background watermark on the invoice depending on the type of item sold; or the workshop stationery can be different to the sales stationery. Some of our customers use the depot address on their invoices whilst others use the same stationery at all depots. As there are no conventional printing costs the range of stationery used has no cost implication. The most popular option is to install the forms printing option with the email bolt on. The customer file is then enabled to hold an email address for sales invoices and a separate email address for statements and to hold the normal delivery method for each document. For example a customer could have hard copy printed invoices but their statements could be sent by email. The flexibility is designed to allow our customers to use electronic document delivery whenever possible whilst catering for the customer who always wants paper copies. Just remember every time that a document is sent by email the printing and delivery is free! The cumulative savings in postage, labour, stationery, printing and consumables can be huge.
